In this screen you can change the data of existing documents. Adding new documents cannot be done via this screen but goes where you can link documents to elements in SOFOS360. For example: substances, employees or companies.

In addition to the obvious fields such as name, description and language you will find a number of other fields on this screen that are worth mentioning. First of all, this is the field 'Direct link'. This field contains the address with which you can directly access the document without having to log in to SOFOS360. For example, you can use this direct link on your intranet to link to a document in SOFOS360.

If you want to link a new physical document, you do this via the 'File' field. By clicking on the pencil you can choose the new file which will then automatically be included in SOFOS360.

You can also store information about version control of the document. For example, you can use the 'Definitive' field (and the corresponding date field) to indicate whether the document has been released to the rest of the organisation. Furthermore, you can record the version number of the document (including the version date) and indicate when the document expires and may need to be replaced by a new version. You may also have this moment put on the agenda again. In the default settings (My details) you can indicate if you want to be notified when a document will expire within 30. With a green shield at the top right or a popup screen you will be notified of this.

You can place the document in a file via the 'Dossier' field. You can create this file yourself via the menu item 'Settings-General-Documents-File'. A similar function is to link certain documents to the document properties. You can also create these properties yourself and via the menu item 'Settings-General-Document-Document property'. There you can also get an overview of all documents that are linked to a certain property. You can link multiple properties to the document via the 'Properties' tab in a document.

You can use the 'Show in information portal' checkbox to indicate whether this document should be displayed by default in the information portal when it is linked to a substance. When actually linking the document to a substance, you can still choose not to display the document for that substance in the information portal.

Finally, you can use the 'Expired' checkbox to indicate whether a document has expired. The document will no longer be shown with the linked elements.

On the 'Linked to' tab you can see which elements within SOFOS360 the document is linked to. Actual linking is not possible at this location, but must be done with the various elements to which a document can be linked.

For each row, you can also see whether the document should be displayed for the linked element in the information portal. At the moment, only documents linked to substances are shown in the information portal. Using the 'Toggle informationportal status' button above the 'Linked to' overview, you can enable or disable the 'Show in information portal' checkbox for the selected rows. As mentioned earlier, this currently only applies to documents linked to substances.
