In this screen, the replaced substance can be linked to the substance from the external database.
- When the screen is launched, all substances with the same number or name as the substance to be replaced are displayed.
- If necessary, you can start a new search by entering the name or CAS number of the substance you are looking for in the ‘Substance name or CAS number’ field. After clicking on the ‘Search substance’ button, the substances are searched for in the external database.
- The result is displayed in the ‘Possible substances’ overview screen.
- If a line is displayed in red, the substance has been found based on one of the additional CAS numbers linked to the substance displayed. However, when retrieved, the substance (and substance data) from the “main” CAS number will be retrieved. This will also be displayed in the “CAS no. differs” column.
- If the linked substance already appears in your SOFOS360, it will appear twice after the conversion has been processed. To make this clear, linked substances that already appear in your SOFOS360, will be displayed with a green bar on the screen (in the same way as in the Import substance data screen). So, if you see such a green bar, we advise you not to use the selected substance as a replacement. It is better not to use the substance as a replacement. It is better to note the details of the substance to be replaced and to enter the previously found DBD substance in all links (department, maximum stock, articles, CMR-registration and persons) for that substance. If the substance to be replaced no longer has any links, you can mark this substance as expired on the “Substance” tab. In this way, you have replaced the substance data of an existing substance without introducing duplicate substances.
- You can select one substance here, which will then be linked to the substance to be replaced. If you select two or more substances, the “Close” button will be disabled and you will only be able to close the screen once you have selected zero or one substance.
- After clicking on the “Close” button, the screen will close and the “Replace substance data” screen will reappear. The status of the active substance will be updated and any linked substance will be visible in the “To be processed” overview screen.
